Job Description  

Our client, an advisory and independent alternative wealth management firm seeks to recruit an ambitious, smart, self-motivated and goal-driven Senior Executive Assistant.

The Senior Executive Assistant will be responsible for providing high-level professional executive support, overseeing the Company’s secretariat and human resources management. He will report directly to the Executive Office, working closely with the top Management and the Board.

 

The Senior Executive Assistant’s role is aimed at ensuring the smooth running of official tasks in an effective and efficient manner.  He will also carry out other functions as may be duly assigned by the executive office of the Company. He is therefore expected to be a dependable individual with impeccable personal values, good professional conduct and leadership capability.

 

He must be versed in reports writing, people management, meeting scheduling, statutory corporate filings and corporate administration. Self-motivated and an effective team player.

Job Responsibility  

Key Responsibilities

  • Oversee the filing of the company’s annual returns at Corporate Affairs Commission
  • Responsible for managing directors’ meetings; develop a tracking system to ensure timely and appropriate scheduling, create meeting materials, including spreadsheets and executive summaries when needed, ensure successful follow-up on action points resulting from meetings
  • Maintain accurate board minutes, including taking notes at meetings, preparing draft minutes for the Chairman’s review and ensuring approved minutes are circulated to directors and filed away appropriately
  • Act as company secretary for the company and its sister entities
  • Review reports and memos and prepare executive summaries for directors consideration and approval
  • Co-ordinate internal and external meetings involving the company directors and management as required and provide necessary follow up
  • Co-ordinate (including thorough review of) executive reports generated by departments for executive level meetings
  • Manage the human resources, including selection and recruitment co-ordination, staff performance appraisal, secure management of staff data
  • Organise and manage employee induction programs, including maintaining and updating staff induction manuals
  • Provide full range of secretarial duties, including screening/receiving/coordinating visitors, screening/handling phone calls, typing documents, proofreading, copying, transcribing dictation, keeping confidential records, handling mails/correspondences
  • Maintain an accurate filing system and document control
  • Maintain data privacy and confidentiality of necessary administrative affairs
  • Manage special projects/activities/tasks
  • Prepare periodic reports, prepare and distribute minutes of meeting
  • Prepare correspondence/memos/documentation, and maintain logs
  • Generate/gather data/information from various sources (e.g. reports, logs, files, etc.).           
  • Schedule and make arrangements for meetings, appointments, conferences, and assembling necessary requirements and resources.  Managing Outlook calendars as well
  • Author documents, spreadsheets and presentations for executive meetings or sessions
  • Take initiative in programme/project planning, development, and execution of agreed work plans within established time frames
  • Clear communication and active seeking of ideas/suggestions for process improvement

Liaison with vendors, third-party agents and regulatory authorities while ensuring adherence to Service Level Agreements and compliance with regulatory requirements

Job Requirement  

Qualifications & Experience

  • A good first degree or its equivalent in any discipline from a reputable institution
  • ICSAN certification will be an added advantage
  • A minimum of five (5) years’ relevant post-NYSC work experience in Executive Assistant/Company Secretarial role
  • A male who is not more than 35years of age
